What is StREAM?

StREAM is the University’s learner analytics platform. The use of learner analytics is designed to support all students in maximising their chances of success and realising their potential.

How does StREAM work?

Relevant data from a wide range of sources (see further below) is collected and analysed on a daily basis to derive an “engagement rating”. The engagement rating, along with data surfaced through StREAM, will form the core of meaningful dialogue between Personal Tutors and tutees, and reviewed at each 1-1 tutorial. Where necessary, Personal Tutors can create interactions which may require you to undertake an action, or you may be referred to another University service, such as the Student Success Team.

What data sources are you using?

At the moment, the following data sources are being used within StREAM:

  • Attendance
  • VLE logins
  • VLE activity (any activity within a module)
  • Card swipes
  • MyPrint usage
  • Library Loans (physical loans only)
  • Computer logons

What is the engagement rating and how is it calculated?

The engagement rating displayed on your profile indicates your engagement with the University and is ranked High, Good, Partial, Low, Very Low or None. The engagement rating is calculated based on your interactions with the University, using the data sources listed above (see What data sources are you using?).

How often is my engagement rating updated?

The StREAM analytics process runs every day and uses a weighted algorithm to look for system interactions for the previous day. The algorithm has been fine-tuned using historical data from the University.

What is the algorithm?

The algorithm applies weightings to each of the data sources used in StREAM. Some data sources carry more weight than others, as they are considered to be more important in measuring engagement. For example; attendance data carries a higher weighting than library book loans.

What is the average engagement rating?

The average engagement rating is calculated using the mode value over a period of 28 days.

Who can see my data?

Your Personal Tutor will be able to see your profile through the StREAM dashboard. Other key members of staff within your School and University services, including the Student Success Team,  will also be able to see the data so that they can update your record, or act upon interactions and referrals where necessary.

The University is committed to transparency of data and as such as you will have access to your own data but not that of other students. Further, you will be able to see every piece of data that StREAM knows about you. There is no hidden information about you stored on StREAM.

Through providing access to a range of relevant data sources, learner analytics will empower Personal Tutors to provide high-impact advice and guidance and the data surfaced through the platform will form the core of meaningful dialogue between Personal Tutors and tutees.

You are encouraged to independently utilise learner analytics to gain actionable insights into your engagement with your studies.

What do the graphs on my profile show?

On your profile page, you’ll see an engagement graph. This is an interactive display of your engagement, based on the data being fed into the system, over a given date range. The graph is interactive and can be configured to visually display interactions, alerts, exemptions and the average engagement for your cohort.

The bar chart summaries engagement by representing the percentage of days spent in each engagement category (for the same time period as the engagement graph).

How do I see a detailed breakdown of resource usage?

A breakdown of individual resource usage can be seen on the Resources tab within your student profile. This is a time-based representation of the data systems that StREAM is using. The time series graphs show the number of system interactions over the chosen date range.

What is an alert?

Alerts are configured by the University based on specific criteria. Alerts trigger an email to both the student and their personal tutor. At the moment, the system is configured to send alerts based on attendance, in accordance with the University’s Attendance Monitoring Policy and Procedure.

What does the “None” engagement rating mean?

A rating of “None” means simply that there isn’t enough data available to calculate an accurate engagement rating. This may be for a number of reasons (e.g. lack of attendance data) and may occur during / just after University holiday periods (during which your engagement with University systems could be typically lower than during term time).

What is an interaction?

An interaction is typically created by a personal tutor at a specific point in time. An interaction should be created when there is a need to intervene as a result your engagement rating. An interaction can include actions for you to undertake and referrals to other University services. You can comment on interactions and this will notify your personal tutor via email.

How do I view my interactions?

You can view all of your interaction history on the Interactions tab in your profile. Interactions are listed in date order and display a status indicator: New; In Progress; Delayed or Complete.

Clicking on an individual interaction expands the record to provide a more detailed view. You can also add a comment by typing at the bottom of the chat box (where it says ‘Add Comment’) and whoever created the interaction (likely to be your personal tutor) will be emailed so they know you have written a comment. You will be emailed if someone adds a comment to one of your interactions also.

Some of my data is incorrect – how do I correct this?

If you believe that any of your data within the system is incorrect, for example your record of attendance, contact your School in the first instance stating your name, student number and details of the inaccurate data.

You can update personal information such as your name and address via e-Vision.

In the event that you have concerns about how your personal data is being managed, email the Information Governance Team stating your name, student number and details of your concern.
